How do you implement Quality Management Plans (QMPs)?

Quality Management Plan (QMP), which was introduced in ISO 9001:2008, provides a systematic approach to improving processes, products, and services through continual improvement. It helps to improve customer satisfaction and product/service quality by continuously measuring, analyzing, controlling and improving.

QMP is a method that ensures good business performance. QMP is a standard method that improves the production process, service delivery, customer relationship, and overall business performance. QMPs should encompass all three components - Products and Services, as well as Processes. The QMP that only addresses one aspect of the process is called a Process QMP. When the QMP focuses on a Product/Service, it is known as a "Product" QMP. And when the QMP concentrates on Customer Relationships, it is called "Customer" QMP.

When implementing a QMP, there are two main elements: Scope and Strategy. These elements can be defined as follows.

Scope: This describes the scope and duration for the QMP. For example, if you want to implement a QMP that lasts six months, then this scope will outline the activities done during the first six.

Strategy: This describes how you will achieve the goals in your scope.

A typical QMP is composed of five phases: Planning Design, Development, Implementation and Maintenance. Below is a description of each phase:

Planning: This stage identifies and prioritizes the QMP's objectives. All stakeholders involved in the project are consulted to understand their requirements and expectations. After identifying the objectives, priorities and stakeholder involvement, it's time to develop the strategy for achieving the goals.

Design: This stage is where the design team creates the vision, mission and strategies necessary for successful implementation of QMP. These strategies are put into action by developing detailed plans and procedures.

Development: Here, the team develops the resources and capabilities that will support the successful implementation.

Implementation: This involves the actual implementation of the QMP using the planned strategies.

Maintenance: It is an ongoing process that maintains the QMP over time.

Several additional items should be added to the QMP.

Participation by Stakeholders is essential for the QMP's continued success. They should actively be involved during the planning and development, implementation, maintenance, and design stages of QMP.

Project Initiation. It is important to understand the problem and the solution in order to initiate any project. The initiator must know the reason they are doing something and the expected outcome.

Time Frame: It is important to consider the QMP's time frame. The simplest version can be used if the QMP is only being implemented for a short time. You may need to upgrade if you plan on implementing the QMP for a long time.

Cost Estimation: Cost estimation is another vital component of the QMP. You cannot plan without knowing how much money you will spend. It is therefore important to calculate the cost before you start the QMP.

The most important thing about a QMP is that it is not just a document but also a living document. It is constantly changing as the company changes. So, it should be reviewed periodically to make sure that it still meets the needs of the organization.
